Protocols and documents signed on the road

The driver needs no special app. A phone with a browser and internet access at the moment of opening the link is enough. The document opens as a PDF with fields to complete, and the signature is added with a finger on the screen. The finished file appears in your account moments later.

Signing needs coverage and a safe moment, so a good approach is sending the document in advance so the driver signs it during a break. More about the process: sending a document for signature.

Driver documents and carriage documents

SignSafe can be used for drivers’ documents (contracts, declarations, rules, protocols) and for carriage documents. The driver gets a link, fills in the fields and signs with a finger, and the signed PDF is at once in the company account. A large fleet and your own system

If you manage many drivers, use the contact list and send the same document to the whole group. Your account shows at once who has signed, so you need not phone each person.

Online signature for logistics services: client agreements and delivery documents

Logistics companies conclude agreements for warehousing, transport and forwarding services, often with clients in other cities or countries. You save the agreement as a PDF and send it as a link, and the client signs with a finger on a phone or computer, with no account. It is a shorter route than swapping paper by post, and you see the status in real time.

Signing on a courier tablet or at a point: two modes for transport

Transport and courier firms often collect a signature from someone with no account and no time to install anything. SignSafe supports four ways to sign: e-mail with a one-time code, no password; e-mail with the account password; on a device at a point (no login by the customer); and on the courier's or supplier's tablet.

The last two are examples for delivery confirmations and handover records: the recipient signs on the tablet screen, has no account and does not log in. Bulk signing: if you sign many documents, you select the ones you want and sign them all at once. It helps with a larger number of handover records and driver documents.

Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

Legal nature of a signature placed by hand on the touch screen of an electronic device

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.

SignSafe and telecommunications law and labour law

A telecommunications service contract can be concluded in written, electronic or documentary form, and SignSafe can meet the durable-medium requirement; verifying the subscriber’s identity is a separate requirement. In labour law an employment contract requires written form and a SignSafe signature is handwritten; electronic employee records must be digitally reproduced and bear the employer’s qualified signature or seal, which SignSafe does not provide by itself.
