SignSafe is a tool for electronic document workflow and for collecting signatures. The workflow is a paperless process: you prepare a PDF or a template, send it to one or many people, recipients fill in the fields and sign with a finger on the screen, and you track status in the document list. Signed documents stay on your account and in your email, and through the API they return to your own system.

How it works

Prepare a document template

Two ways: upload your own PDF (A4 portrait) and choose the signature places, or create a template with fields for the other party to complete (for example company or personal details). You can reuse the template.

Send to chosen people

Give an email, first and last name, or pick people from the contact list or groups. Choose the order (any, or by the list) and the method (one signature for all of a person’s places, or separately each time), then confirm the send.

Recipients fill in and sign

Each opens the document in a browser with a one-time code (no password) or an account password, ticks the consent, completes their fields and signs with a finger (a mouse on a computer). No account and no app. Whoever has many documents signs in bulk: select them and sign all at once.

Track status

In the document list, with keyword search, a dot shows whether nobody has signed (red), some people (yellow) or everyone (green). You can resend the invitation to unsigned recipients by hand.

The document goes to the archive

Once everyone has signed, the finished PDF goes to your email and the document list, and we do not delete documents automatically. With the API integration it also returns to the right place in your system.

What a paperless document workflow covers

In practice an electronic document workflow has several stages: preparing the document, sending, completing data, signing, checking status and storing. SignSafe handles these stages for documents that need the recipient’s handwritten signature. It is not a full document management system with internal approval workflows. We focus on the document’s route to an outside person or an employee and back.

Signed documents stay on your account, and we do not delete them automatically. You can find documents with the keyword search in the document list. We can build a bulk export for you on request; it is not a standard, ready-made feature today.

A limit: we handle documents as PDF in A4 portrait format; other formats must be converted first. Signing works four ways: after an email with a one-time code, after an email with an account password, on a device at a point of service without logging in, and on a courier’s or driver’s tablet.

Company document flow through the API

When there are many documents, sending can be automated. From your system, for example a CRM, HR or project tool, a document is sent for signature in one click, and the signed PDF returns to the customer, employee, lead, subcontractor or project record. Nobody has to download and name files by hand.

Where to start going paperless

The easiest start is one recurring document, such as a consent, declaration or delivery confirmation. Prepare it as a template with fields to complete, send it to the first few people and see how status looks. When the process works, add more documents. Observer, copies of documents and storage space

A document workflow has three roles: the sender, the signer and the observer. The observer does not sign or send the document but sees it and receives notifications (for example accounting, HR, a manager or a lawyer). The finished PDF goes to everyone: the sender and every signer. Reminders about unsigned documents are manual (the resend button for unsigned documents); there are no automatic ones.

The plan includes 1 GB for documents. For larger needs we can connect to an external drive or a server of the client, so that storage and the archive stay on your side. This is a possibility agreed in the offer.

Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we sign a data processing agreement.

According to the legal opinion of Gałecki and Associates of 21 August 2023, a SignSafe signature is a handwritten signature and meets the written form (Art. 78 of the Civil Code); at the very least the declaration is valid in the documentary form (Art. 77² of the Civil Code). It is not a qualified electronic signature. According to a legal analysis prepared for SignSafe, archiving employee records in electronic form requires a digital copy bearing the employer’s qualified signature or qualified electronic seal; we can connect a qualified signature in SignSafe.

What is an electronic document workflow?

Does SignSafe replace a document management system?

No. SignSafe handles a document’s route to signature and back, not internal approval paths or archiving all company documentation. It can be connected to your system through the API.

What does the signature summary page contain?

SignSafe attaches a signature summary page (a signing record, in Polish and English) to the signed document. It holds a unique SignSafe certificate identifier, the document name and number, the date and time of sending and signing, the sender’s details (first name, last name, email) and, for each signer: first and last name, email, identification number in the system, IP address, the device used to sign (for example an iPhone), date and time of signing and the signing method. So it shows who signed, when and from which device. It complements the option of handwriting verification, but it is not legal advice or a guarantee of how a dispute ends.

Can I add a person who only sees the document?

Yes. An observer does not sign or send the document but sees it and receives notifications, for example accounting, HR or a manager.

What if 1 GB for documents is not enough?

We can connect to an external drive or a server of the client so that the archive is on your side. This is a possibility agreed in the offer.

How do I check the status of a document sent for signature?

Open the “Your documents” list: the colour of the dot shows the status in real time (red means no signatures, yellow some, green all). When someone has not signed, you can manually re-send the invitation with “Resend to those who have not signed”. There are no automatic reminders. How do I tell which version of a document is final when everything circulates in email?

Send the document for signature from your account so every signer opens the same file; the signed PDF stays in your account and goes to the sender and each signer. You send a corrected version as a new document. SignSafe has no versioning today, but we can add it on request.
