  • Cost does not match usage. You pay for a bigger plan than you need, or for items you do not use.
  • The process does not suit your documents. Your recipients struggle to sign (registration, installs), so some documents come back unsigned.

What to check in the invoice and contract

Gather the latest invoices and the contract, then answer these questions:

  1. What exactly do you pay for (subscription, users, document bundles, add-ons)?
  2. How are fees counted: per month, per document, per signature?
  3. How many documents did you actually send in recent months?
  4. Are there extra fees (integration, support, storage)?
  5. What are the contract term and the notice period? Does it renew automatically?
  6. How, and for how long, can you download your signed documents after the contract ends?

Compare the result with your own needs. These are your numbers, not ours.

Talk to a lawyer before switching if

  • your documents require the electronic form of Art. 78¹ of the Polish Civil Code, a qualified signature or a notarial deed (we can connect a qualified signature in SignSafe, a notarial deed is not possible; for written form, a SignSafe signature is according to the 2023 G&A legal opinion sufficient, see Legal security),
  • your current contract has unclear terms on notice or access to data,
  • some of your documents have a special form.

How to plan the changeover so nothing gets lost

  1. Download signed documents from your current system.
  2. Build templates in the new tool and test them on a few internal documents.
  3. For an agreed period, send new documents with the new tool and finish those in progress in the old one.
  4. Only after the contract period ends, cancel the previous provider.
