Prepare the document as a PDF

An order with a specification, a drawing or a visual for approval goes into SignSafe as a PDF. A document in a format other than portrait A4 needs to be converted into such a PDF first.

Save an order template

Turn a recurring order into a template with text, number and date fields, for example for dimensions, finish variant and deadline.

Send it to the client or partner

Choose the recipient from your contact list and send the link. You can also send one document to several people at once.

They open the link in a browser, enter the details and sign with a finger on the screen. No account and no app.

An email notification announces the signature and the signed PDF is in your account right away. After delivery you send a handover report.

A made-to-measure order: the specification signed before production starts

With bespoke products, what the client ordered is written down in the specification: dimensions, materials, finish, deadline. The simplest way to avoid a dispute after delivery is to send the specification as a PDF for signature before you order materials. The client signs with a finger on a phone in a minute, and you hold the approved version.

If your orders share a layout, save it as a template and mark the fields the client fills in, such as dimensions, variant or date. We describe this under filling in documents. The scope of use depends on the type of document; if in doubt, consult a lawyer.

Design approval and changes during production

Before a design goes into production, the client usually approves a drawing, a visual or a sample. Send that document as a PDF with a place to sign, and the approval gets a date and a status in your account. The same goes for changes: a corrected dimension or finish variant is a short amendment to the order, which the client signs as quickly as the order itself.

Partner workshops, subcontractors and product handover

Companies that make to order rarely do everything themselves: finishing, fittings, installation or transport are often passed to partners. You send their agreements and orders with the same tool, to one or many people at once, and see who has already signed.

The last step is handover. The client signs the handover or installation report on a phone, on your tablet when collecting from the workshop, or on a courier’s or supplier’s tablet. Four ways to sign in a made-to-order business

A client in a showroom or workshop can sign the order on a device at the point, with no login and no account. A remote client opens an e-mail with a one-time code, no password, or logs in with an account password if they have one. The fourth way is signing on a courier’s or supplier’s tablet when the product is handed over. You can also prepare a document as a template with fields for the other party to fill in. These are examples of use.

Connecting your production system

If you manage orders in a production or sales system, ask about the API integration: the document can leave from the order card and the signed PDF return to it automatically. We provide the REST API documentation after an enquiry about an offer, and the scope and price are agreed individually.

Security and legal basis

Documents and signers’ data are stored on servers in the European Union (OVH hosting).

For business customers we conclude a data processing agreement.

A signature in SignSafe is a handwritten signature and, according to the legal opinion of the law firm Gałecki and Associates of 21 August 2023, satisfies the written form requirement, with the option of graphological verification.

A signature placed in SignSafe is a handwritten signature, and a declaration of intent signed in the app meets the requirements of written form. If the signature did not qualify as handwritten, the declaration is still valid in documentary form. In legal effect it is equivalent to a qualified electronic signature: both preserve written form.
